Angel Fire Ladies Golf Association Bylaws

Purpose: To promote good fellowship, sportsmanship and competition for women golfers of all abilities and to encourage their active participation in playing and enjoying golf and to encourage and mentor new members.

Article I-Membership

Membership is open to any woman desiring to join the Angel Fire Ladies Golf Association (AFLGA) upon payment of annual dues.

Article II-Officers

The elected officers, consisting of the President, Vice President, Secretary, Treasurer and immediate Past President shall be the Executive Committee and will have the power to fill vacancies as they occur, and to conduct the business of the Association.

Article III-Duties of Officers Section I-President

The President shall preside at all meetings, convene a board meeting prior to each general meeting, provide meeting agenda and appoint the following:

a)  Weekly Play Day Chairman-coordinates play day events.

b)  Special Tournaments Chairman-coordinates tournament committees for Couples Golf and Match Play Tournaments.

c)  Rules Chairman- educates membership on rules and rule change.

d)  Handicap Chairman- is responsible for determining the Most Improved Player of the year. That player must have played with the AFLGA at least 3 times within the current AFLGA season.

e)  Year-end Awards Chairman- coordinates year-end awards including Birdie Tree and Most Improved Player.

f)  Hole-In-One payout shall be the entire HIO fund, split by all hole-in-one members that have recorded a hole-in-one while playing an 18 hole round of golf during the Angel Fire Country Club golf season. HIO members shall be verified by the Treasurer. The golf season shall be defined as the open to close dates of the Angel Fire Country Club golf course. Disbursement of prize money will be as soon as practical at the end of the AFCC golf season. In the event that there is not a recorded hole-in-one during the golf season, the money will carry over to the next golf season.

g)  All other necessary committees, as determined by the Board.

h) Webmaster-shall be responsible for the distribution of the membership roster and update member information on the website. The webmaster will also post the Play Day Results each week and any reports such as Treasurer’s Report, Minutes or Announcements.

Section 2-Vice President

The Vice-President shall perform the duties of the President in her absence. She shall be responsible for arranging the monthly luncheons and Club Championship. She shall perform other duties as directed by the Board or the President.

Section 3-Secretary

The Secretary shall keep a record of all proceedings and handle all correspondence, including get-well and sympathy card expressions to members. In the absence of the President and Vice-President, she shall call meetings to order and preside in their absence.

Section 4-Treasurer

The Treasurer shall take charge of all funds of the Association and will be responsible for payment of all bills. She shall prepare a proposed budget and present it to the Board for approval in April or at a time requested by the President. The Treasurer shall make no disbursement over $50.00, unless approved in the budget or until a bill or voucher has been submitted and approved by a majority of the Executive Committee, either in writing or verbally, for payment. The Treasurer shall maintain a current list of members in the Association.
She shall render a monthly financial report at the regular monthly meeting. At the conclusion of the AFLGA Year she shall present a written financial statement of the year’s receipts and expenditures. The Treasurer is also responsible for notifying the banking institution of the current checking account signatories, which consist of the Treasurer and the President.

Section 5-Immediate Past President

Article IV-Board of Directors

The Board of Directors shall consist of the Executive Committee and the Chairmen appointed by the President. This Board’s function is to formulate policy for the Association and shall have the necessary authority and be responsible to the membership for the conduct of the affairs and functions of the Association. A majority vote of the Board will be required on all matters.

No individual member of the Board shall have the right to conduct business for the Association without the full knowledge and consent of the Board. The Board shall ensure that a minimum of $300.00 remains in the treasury at the time its term of office expires.

Article V-Election of Officers

The election of officers shall be held annually at the end of season business meeting. The term of office shall be one (1) year, starting after the end of season play. The Immediate Past President shall appoint a nominating committee of three members prior to the regular July meeting. This committee will present a slate of nominees at the July meeting. Nominations may be made from the floor. There will be no nominations from the floor at the election meeting.

Article VI-Dues

The annual dues of the Association shall be payable January 31st. Dues for new members shall be payable with the membership application. Once paid, dues are nonrefundable. Exceptions will be determined by the Executive Committee. Refunds, if made, will be calculated after deducting fees paid to Sun Country for GHIN/membership fees. After 8/15, dues shall be prorated by 50% for new members.

Article VII-Rules

Section 1

Association play will be in conformance with USGA rules, except where modified by local rules. The Club Professional will make the final interpretation of rules.

Section 2

A player must either possess a current local Sun Country USGA handicap card or a current card from her home course. Players should post all scores in accordance with the USGA Handicap Rules. Players must have a handicap to be eligible for prizes.

Section 3-Ladies Club Championship

a. A dues paid-up member shall have played at least three times in the Ladies Play Day activities prior to the upcoming Championship Tournament and since the previous Club Championship Tournament. The Tournament shall consist of a 2 day, 18 hole event.

b. In the event of a playoff for the Club Champion, there will be both 1st and 2nd place gross winners. c. The Special Tournaments Chairman shall confirm participant’s eligibility.

d. If a member’s health or other extenuating circumstances constitutes a question of eligibility, the Board of Directors shall have the final decision.

e. All members and guests are invited to participate in the luncheon. The member or guest will pay the cost of her lunch.

Section 4

Guests may play a maximum of two ladies play days per season and will not be eligible for prizes. Guests may not play on Scramble Days.

Article VIII-Amendments

The Bylaws should be reviewed by a committee within each two-year period. The Bylaws may be amended at any regular business meeting by a majority vote of all members present, provided this has been recommended by 75% of the Board of Directors and all members have been notified of the changes in writing at least 30 days in advance.
